Privacy policy

This page explains what personal information we collect through this website and by email, why we collect it, and what you can ask us to do with it.

Who we are

This website is run by Clara Via. Clara Via is responsible for (the "controller" of) the personal information you give us through it.

If you have any questions about this policy or your information, email info@claravia.co.uk.

What we collect

  • When you use the contact form: your name, email address and message, plus anything else you choose to give us, such as your business name, phone number, the services you're interested in and how you heard about us.
  • When you ask for your full diagnostic breakdown: your name and email address, your business name and phone number if you give them, and your answers and result.
  • When you email us: your email address and whatever you include in your message.
  • If you become a client: the contact and billing details we need to do the work and invoice you.
  • When you visit the site: like almost every website, our host automatically records basic technical information such as your IP address, browser type and the pages you asked for.

The Bottleneck Diagnostic runs entirely in your browser. Your answers aren't sent to us unless you choose to send them with the breakdown form.

Cookies and analytics

This site doesn't use cookies, and we don't use advertising or tracking tools.

We use Cloudflare Web Analytics to count visits. It doesn't use cookies, doesn't identify you and doesn't follow you across other websites. It records things like which pages are viewed, which site sent you here, your browser and device type, your country and how quickly pages load.

Our fonts are served from our own site, so visiting doesn't send your details to font providers. If any of this changes, we'll update this page first.

Why we use it

We only use your information for the reasons below. Each one has a lawful basis under UK data protection law.

  • To reply to your enquiry and talk to you about your project. Lawful basis: our legitimate interest in responding to people who contact us, and taking steps you've asked for before a contract.
  • To carry out work for you and invoice you. Lawful basis: our contract with you.
  • To keep financial records. Lawful basis: our legal obligation to keep accounts.
  • To keep the website running and secure. Lawful basis: our legitimate interest in running a safe, working website.

We don't sell your information, and we won't send you marketing unless you've asked for it.

Who we share it with

We only share your information with the services that help us run the business:

  • Netlify, which hosts this website and receives the contact and diagnostic forms. Netlify checks form submissions for spam and stores them in our account.
  • Cloudflare, which provides our visit statistics (no personal information, see above).
  • Our email provider, which stores our email, including the notifications Netlify sends us about new enquiries.
  • Accounting and payment providers, if you become a client.

Each of these works on our instructions and has to keep your information secure. We'll also share information if the law requires us to.

Information stored outside the UK

Some of these providers store or process information outside the UK, for example in the United States or the European Economic Area. Where that happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement.

How long we keep it

  • Enquiries that don't lead to work: up to 12 months after we last hear from you, then deleted from both our inbox and the Netlify forms dashboard.
  • Client records: 6 years after the end of the tax year the work was in, because the law requires us to keep financial records.
  • Website server logs: kept by Netlify for a short time for security and troubleshooting.

Your rights

You can ask us to:

  • give you a copy of the information we hold about you
  • correct anything that's wrong or out of date
  • delete your information
  • limit how we use it, or stop using it
  • send it to you or someone else in a common format

To do any of these, email info@claravia.co.uk. We'll reply within one month, and in most cases it's free.

Complaints

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or by phoning 0303 123 1113.

Changes to this policy

We'll update this page if anything changes. The date at the top shows when it was last updated.
